AUTORENTALSYSTEMS.COM LLC (“ARSLoaner”, “ ARS”, “us”, “we”, or “our”) recognizes the importance of privacy and protecting the personally identifiable information (collectively, “PII”) of our direct clients (“Clients”, “you”) who use or license our products and services and the customers (“Customers”) our clients serve as well as website visitors. This page informs you of our policies on what types of personal information we receive and collect when Clients use our products and services either offline or online and how we safeguard information. Our online operations include all websites (collectively, the “Websites”) and applications (“Apps”) of AUTORENTALSYSTEMS.COM LLC including www.arsloaner.com and www.autorentalsystems.com. By submitting personally identifiable information to us, you consent to allow ARS to use and disclosure personally identifiable information as set forth in this Privacy Policy. Your use and/or continued use of ARS’s products, services and websites signifies your consent that you and your Customer’s information may be transferred to or stored on servers and processed within the United States. If you do not agree with the terms of this Privacy Policy, please do not submit any information to ARS either offline or through our Apps or Websites.

Purpose of this privacy policy
We recognize the importance of protecting personally identifiable information (which includes name, address, telephone number, date of birth, e-mail address, credit or debit card information, driver’s license number, insurance information, and other contact information) that is provided to ARS. The purpose of this Privacy Policy is to tell you how ARS strives to better allow you to serve your Customers by safeguarding PII. This Privacy Policy sets forth our policies regarding the collection, use and disclosure of PII both through our online and offline operations.

Who is covered under this privacy policy
This Privacy Policy is applicable to PII that is provided to ARS. This Privacy Policy applies to all products, services, Apps and Websites offered by ARS or its subsidiaries or affiliated companies.

What personally identifiable information ARS collects
The services chosen will determine what information we collect from our Clients and their Customers. Here are some examples of information we may collect:

  • Name
  • Email Address
  • Home and/or Business Address
  • Telephone Numbers
  • Date of Birth
  • Payment Information (i.e. debit or credit card and expiration date)
  • Information from Driver’s License
  • Insurance information (policy number, insurer information)
ARS also tracks and saves information about vehicle rentals (e.g. where a vehicle is rented, where and when a vehicle is returned, payment arrangements, insurance preferences, gas consumption, mileage and other information related to the vehicle). Tracking this data is required to process transactions and support the management of courtesy vehicles under contract with individual Client(s) depending on the services selected by an ARS direct Client.

How ARS collects personally identifiable information
The PII we collect will be with express or implied consent. How we collect this information will depend on how you and your Customer’s use our services. We may collect this information directly from you or your customer by telephone, fax, postal mail, email, at the customer suite, upon completion of an application or enrollment form, or through you or your Customer’s use of our Websites, Apps or the Internet, or via dealership ecosystem technology integrations.

As a part of the ARS services, courtesy vehicles may be equipped with a device that allows ARS to use a global positioning satellite or other technology to track, locate and/or disable the vehicle and to provide such information and the capability to track vehicle assets.

How personally identifiable information is used
To provide the level of service we believe you expect from us, we may use you and your customer’s PII for the following purposes:

  • To ensure a fast and smooth transaction process
  • To provide the services that you and your Customers’ request
  • Do all things necessary to administer all ARS products and services
  • Research, develop, manage, protect, and improve our product, services, and website
  • Maintain and develop our service-oriented software and other business systems
  • Aggregated and anonymize data
  • Provide and administer the services that you request, and communicate with you and your Customers regarding such services and offerings
  • Research, develop, manage, protect, and improve our Websites and services
  • Maintain and develop our service-oriented software and other business systems
  • Analyze data, or have a third party do so on our behalf
  • We may also use non-personally identifiable information (including aggregated and anonymized PII) for other purposes

Disclosing
We may disclose your PII to affiliated and non-affiliated organizations including, for example:

  • To entities that provide services on our behalf
  • To any previously specified ecosystem partner
  • To a credit card issuer
  • To government, regulatory and law enforcement agencies where the disclosure is required or authorized by law, and otherwise as we believe is necessary or appropriate to satisfy any law, regulation or other governmental request, to operate our Websites and Apps properly, or to protect or defend our rights or the rights or well-being of our employees, users or others or if you are involved (or are suspected by governmental authorities or our security functions to be involved) in any illegal activity, even without a subpoena, warrant or court order.

We may also transfer or assign your PII to third parties because of or in connection with a sale, merger, consolidation, change in control, transfer of assets, reorganization, or liquidation. We will not use or share your information with anyone except as described in this Privacy Policy.

Cookies and web beacons
We do use cookies to store information, such as your personal preferences when you visit our site. This could include only showing you a popup once in your visit, or the ability to login to some of our features, such as forums.

DoubleClick DART cookies
We also may use DART cookies for ad serving through Google’s DoubleClick, which places a cookie on your computer when you are browsing the web and visit a site using DoubleClick advertising (including some Google AdSense advertisements). This cookie is used to serve ads specific to you and your interests (”interest based targeting”). The ads served will be targeted based on your previous browsing history (For example, if you have been viewing sites about visiting Las Vegas, you may see Las Vegas hotel advertisements when viewing a non-related site, such as on a site about hockey). DART uses “non personally identifiable information”. It does NOT track personal information about you, such as your name, email address, physical address, telephone number, social security numbers, bank account numbers or credit card numbers. You can opt-out of this ad serving on all sites using this advertising by visiting http://www.doubleclick.com/privacy/dart_adserving.aspx

You can chose to disable or selectively turn off our cookies or third-party cookies in your browser settings, or by managing preferences in programs such as Norton Internet Security. However, this can affect how you are able to interact with our site as well as other websites. This could include the inability to login to services or programs, such as logging into forums or accounts.

Deleting cookies does not mean you are permanently opted out of any advertising program. Unless you have settings that disallow cookies, the next time you visit a site running the advertisements, a new cookie will be added.

Google Analytics

Information we collect about your usage and devices
ARS collects data relating to your online activity on our websites or apps, including the following:

  • How you got to our Services and any links you click on to leave our Services
  • When you update your information, communicate with us, or order new Services

We store the data we collect in a variety of places within our infrastructure, including system log files, back end databases and analytics systems. This data will be used for internal business purposes only or to enforce site usage rules or requirements.

Log files
As with most other websites, we collect and use the data contained in log files. The information in the log files include your IP (internet protocol) address, your ISP (internet service provider, such as Comcast or Time Warner Cable), the browser you used to visit our site (such as Chrome, Internet Explorer or Firefox), the time you visited our site and which pages you visited throughout our site.

Security of information we manage
We take information security seriously and use certain reasonable security measures to help protect PII. ARS employs secure socket layer (SSL) security to encrypt all data in flight and encryption technology to secure data at rest. However, no electronic data transmission or storage of information can be guaranteed to be 100% secure. As a result, ARS cannot ensure or warrant the security of any information you transmit to us via the Websites, Apps, or any other electronic method. You, as our Client, provide us with information at your own risk including Client information and the information of your direct Customers.

Children
The ARS Websites and Apps are not directed to children under 18. We do not knowingly collect, use or disclose personally identifiable information from anyone under 18 years of age. If we determine upon collection that a user is under this age, we will make reasonable efforts to delete such information from our records.

California consumers
Effective January 1, 2020, the California Consumer Privacy Act of 2018 ("CCPA") gives you certain privacy rights related to your personal information which are in addition to any privacy rights set forth in this privacy policy. Changes to this policy
We change this Privacy Policy from time to time. We will not reduce your rights under this Privacy Policy without your explicit consent. We always indicate the date the last changes were published and we offer access to archived versions for your review. If changes are significant ARS will provide a more prominent notice.
